A save-the-deal discount at renewal is real money, and you should take it seriously. You should also know exactly what it changes: this year's price. Not the seat mechanics, not the ceilings, not the babysitting. Here's the playbook, with Smartsheet's own documentation cited for every mechanic.
Before the renewal call, spend 30 minutes importing your Smartsheet workspace into Wisegrid. The 7-day trial is free, the token is read-only (your Smartsheet is never modified, and you can revoke the token anytime), and the importer shows you exactly what came over and what needs review. Your renewal conversation goes very differently when you've already left in a tab. And if you decide to stay, you've lost half an hour.
The discount applies to the seat count on the quote. Under the User Subscription Model, any free collaborator who edits becomes a provisional member, and provisional members auto-convert to paid seats at the next true-up review "unless an admin downgrades" them.1 So the discounted number is the floor, not the bill. Run your own renewal quote through the true-up calculator →
Next year the discount is a memory, but the routine it papered over is still there: auditing provisional members before every billing cycle ends, checking the auto-upgrade admin setting, moving comment-only people to Contributor seats.2 Wisegrid simply has no such mechanic to babysit: view-only collaborators stay free and are never auto-converted into a paid seat, and adding an editor is a deliberate $19 seat with everything included. Nobody silently converts into a bill.
After the discount, a sheet still stops at 500,000 cells.3 A sheet still takes at most 100 cross-sheet references.4 The activity log still needs a Business plan or above, where "Owners, Admins, and Editors must be paid users to view and export the activity log."5 And Pro is still capped at 10 Members, with no way back once you leave it, because "The Pro plan is only available to new customers."6 If the problem were the price, take the discount. The problem is the walls, and the walls aren't negotiable.
A completed import is a point-in-time copy, so run both in parallel while you decide: worst case is 30 minutes lost. And the honest concession: if you depend on Control Center blueprints, connector integrations, proofing, or Gantt baselines, take the discount this cycle. Wisegrid hasn't shipped those, and we'd rather you catch us saying so than catch us pretending. The Notify-me items on the migration page track what's next →

Subject: Before we sign the Smartsheet renewal We were offered a renewal discount. Before we take it, three things worth 30 minutes: 1. The discount prices today's seat count. Smartsheet's User Subscription Model converts free collaborators who edit into paid seats at the next true-up review, so next year's seat count is likely higher than the one being discounted. This is documented behavior in Smartsheet's own admin docs, not an edge case. 2. The discount is one cycle. The seat-auditing routine that comes with it is forever: someone has to review provisional members every billing cycle to keep the invoice flat. 3. A discount doesn't raise a ceiling. The 500,000-cell sheet cap, the 100 cross-sheet reference limit, the activity log locked behind Business plans with paid viewers, and the Pro plan's 10-member cap (with no way back onto Pro once we leave it) all stay exactly where they are. Alternative we can test in parallel on a 7-day free trial: Wisegrid (wisegrid.co). Same kind of grid, imports our Smartsheet workspace with a read-only token (Smartsheet is never modified), one flat price of $19 per editor per month with every feature included and no Enterprise tiers, and no true-up mechanic to babysit. View-only collaborators stay free and are never auto-converted into a paid seat. Worst case we lose 30 minutes and take the discount anyway. Honest caveat: if we depend on Smartsheet's Control Center, connector integrations, proofing, or Gantt baselines, Wisegrid doesn't have those yet. In that case the discount is the right call this cycle and we re-check their roadmap before the next one.
1 Smartsheet's User Subscription Model: editing an item "triggers provisional membership because editing goes beyond what the Contributor seat type allows," reviewed quarterly (annual plans) or monthly before auto-billing unless an admin downgrades (Smartsheet User Subscription Model administrator documentation).
2 Smartsheet seat types: a provisional member receives "full Member access at no cost until the billing cycle ends, after which they either downgrade to free tiers or auto-upgrade based on admin settings" (Smartsheet seat types and permissions documentation).
3 Smartsheet limits each sheet to 500,000 cells: "A sheet cannot exceed a total of 500,000 cells" (Smartsheet API documentation). Wisegrid's ceiling is 1,000,000.
4 "A sheet can include no more than 100 distinct cross-sheet references" (Smartsheet cross-sheet references documentation). Wisegrid: 500 per sheet.
5 Smartsheet's activity log requires a Business plan or above, and "Owners, Admins, and Editors must be paid users to view and export the activity log" (Smartsheet activity log documentation). Wisegrid includes the activity log for everyone at one price.
6 Smartsheet's published plan seat lines: Pro is "1-10 Members" and "The Pro plan is only available to new customers" (Smartsheet pricing page).
Import your Smartsheet workspace on a 7-day free trial, with a read-only token your account never feels. Then decide with real information instead of a countdown.
